1. About AI In NetQnect
NetQnect uses AI-assisted features to help with professional networking, profile creation, search, matching, event discovery, follow-up, relationship context and assistant workflows.
AI features support the user. They do not replace user judgement. Users should review AI outputs before relying on them or sharing them.
2. AI Use Cases
NetQnect may use AI for:
- profile and biography suggestions;
- AI Assistant chat and task assistance;
- contact, relationship and follow-up suggestions;
- search and matching;
- event attendee recommendations;
- event insights and networking suggestions;
- skill, interest and goal recommendations;
- embeddings for discovery, matching and retrieval;
- safety, debugging and service quality review.
3. Data Used By AI Features
Depending on the feature, AI processing may use:
- account and profile data;
- job title, organisation, biography, skills, interests, goals and public social links;
- Qnect activity, QR scans, connections and contact metadata;
- notes, reminders, tasks, opportunities and relationship context;
- event attendance, check-ins, organiser data and attendee metadata;
- assistant messages, prompts, generated outputs and feedback;
- bounded recommendation-outcome facts and user-linked relationship/network projections;
- technical logs, traces and safety metadata;
- connected-service data where the user or administrator has enabled an integration.
Users should not submit sensitive, confidential, unlawful or third-party personal data into AI features unless they have the right to do so and the processing is lawful.
4. Lawful Basis Matrix
We use the following lawful bases:
- User-requested assistant chat: contract, where the user asks NetQnect to provide the assistant feature.
- User-requested profile or bio generation: contract, where the user asks NetQnect to generate or improve profile content.
- Matching, recommendations, embeddings and relationship insights: legitimate interests, with transparency and objection controls.
- Security, abuse prevention, AI safety and debugging traces: legitimate interests.
- Legal, tax, regulatory or rights-request processing involving AI records: legal obligation where applicable.
The AI Lawful Basis Summary explains this model in more detail. We maintain the AI Processing Register and review our assessments when processing changes.
5. AI Providers And Transfers
We are moving assistant inference from Nebius Token Factory to Google Gemini 3.8 Flash through Vertex AI in the EU multi-region (eu). Nebius continues to process inference for services awaiting the change; services that have switched use the EU Vertex endpoint, without a global fallback. Embeddings use Google Cloud in London (europe-west2). The Subprocessors list describes both providers during this transition. Google Cloud restricts use of customer data for model training without prior permission; limited provider retention for security/abuse monitoring and service caching may apply. See the Google Cloud data terms and provider retention explanation. Some providers may still process data outside the UK or European Economic Area, including providers a user personally authorises through an optional connected service such as Google Calendar or Microsoft Calendar. NetQnect will use appropriate contractual safeguards where required.
The Subprocessors list provides current provider categories, regions and purposes. Read the Privacy Notice, AI Lawful Basis Summary and Data Retention Schedule for the related rights, purposes and retention information.
6. Profiling And Recommendations
NetQnect may use automated processing to suggest people, events, networking actions, profile improvements or relationship opportunities. These recommendations may use profile data, user settings, event context, connection history, embeddings, graph relationships and service activity.
These recommendations are not intended to make legal, employment, credit, housing, insurance, healthcare, financial or similarly significant decisions about users.
Users may object to non-essential profiling based on legitimate interests through Privacy Settings in the app or by contacting legal@netqnect.com. NetQnect reviews each objection and stops the processing unless it has an overriding lawful ground to continue.
NetQnect may record a bounded fact when an advisory recommendation leads to a stateful outcome, such as a follow-up task or introduction request, and may use those facts to prevent duplicates and produce relationship or network insights. These protected service records are separate from optional Google/Firebase Analytics consent. Names, email addresses, prompts and free-text content are not included in NetQnect's custom Google Analytics parameters for recommendation conversions.
If an AI output later affects access, pricing, eligibility, ranking with material impact or opportunity allocation, we assess the change and provide the human review, contest and opt-out controls required by law before introducing it.
Recommendations may compare the professional information, interests and goals relevant to your request with available profiles or events, using text similarity and relationship/activity context to order suggestions. This can affect which suggestions you see and how prominently they appear. It is not a guarantee of suitability or an objective judgement about your value. You can decline a suggestion, correct source information and ask for a review or object where applicable. We do not use these advisory features to make solely automated decisions with legal or similarly significant effects. Any proposed change to that use requires assessment under the law applicable to the affected people.
For an active listed Event, attendee recommendations may compare the selected public Profiles of confirmed attendees and may be available to any signed-in NetQnect Member before that Member registers. The member-facing result shows the attendee's current public Profile and, where recorded, whether they are joining in person or virtually. It does not expose the underlying registration, ticket, check-in or private account record. Where your own attendance mode differs from a recommended attendee's, the match score may be adjusted and that adjustment is shown to you. Private, unlisted and inactive Events do not make attendee identities available to unrelated Members.
7. Optional Programmes
We do not use your data to train AI models. If we ever propose an optional programme, we will explain it in Privacy Settings and ask you first.
Ordinary personal assistance uses permitted information to answer your requests. It does not recreate deleted messages or profile details from old summaries or cached assessments.
8. Human Review
You should review outputs before acting on them. This does not remove NetQnect’s responsibility for lawful and reasonably careful operation. Users can request review of an AI-generated recommendation or output they believe is materially wrong, unfair or harmful through the AI review option in Privacy Settings, or by emailing legal@netqnect.com.
9. Special-category Data
NetQnect is not designed to collect special-category data for AI features. If a user submits special-category data or AI processing creates sensitive inferences, NetQnect must establish the additional condition required by applicable law before that processing. A user entering the data does not itself supply that condition or remove our responsibilities.
10. AI Governance Requirements
NetQnect maintains an AI Processing Register, an AI Lawful Basis Summary, a Data Protection Impact Assessment screening for AI processing, Legitimate Interests Assessments where legitimate interests is used, processor and transfer records, retention and deletion controls, and user objection, deletion and access workflows.
The business owner approved the core Data Protection Impact Assessment on 16 September 2026. We review it when the service, risks or processing change and maintain safeguards for accuracy, safety, data minimisation and privacy rights.
